The Experience
Crafting the right technology plan helps elevate an event experience. TK Events Customer Experience and Event Technology leads manage all aspects of the customer journey from registration to the onsite experience for both live and virtual events. Cultivated from years of experience with technology solutions, we develop a technology plan for clients focused on a seamless experience that exceeds attendee expectations.
The Information Security Forum (ISF) is a global member organization for senior executives and cyber leaders. Their annual gathering at ISF World Congress is designed to explore the future of global cyber security.
Since 2020, TK Events has been providing ISF with a custom virtual venue to host Digital Congress. Upon returning to in-person events, ISF engaged TK Events to provide Registration and Event Technology for a hybrid event where they would host global attendees in person (destinations: Manchester, Rotterdam, Orlando) and in a custom virtual venue in the TK Events virtual platform. With community at the centre of everything they do, ISF World Congress is designed to provide members to attend either in-person or virtually with equal attention paid to elevating the attendee experience.
The Event
TK Events managed all event technology to include:
- Design and development of the Registration site along with communications, monitoring and reporting.
- Implementation of a middleware software for the member organization portal to integrate with the event registration site, to include different pathways for members and non-members for the virtual event and relevant registration experience.
- Design of the onsite check-in experience - including name badge design, automated check-in with barcodes and environmentally friendly badges and lanyards.
- Design, development and implementation of: a fully custom built & branded Mobile App, a Lead Scanning App along with an exhibitor portal for Sponsors, and Session Scanning for session attendance certificates. All of the Apps were custom configured by our team and integrated with our registration solution through API Integrations for the live event.
- A custom virtual venue where both in person and virtual attendees could engage and interact in the sessions, sponsor booths, and ISF content, as well as watch the sessions on-demand the following day, and for 3-weeks post-event.
- Collection and reporting of event data/analytics – including time tracking analytics to gather individual delegate session attendance for their CPE attendance certificates and merged data from the live and digital event.
The TK Difference
- Available in multiple time zones – live keynotes are streamed live from the conference as well as available for the audience to log in and watch the recording in their own time zone on-demand. The numbers tell the story – 630 delegates at the in-person event with an almost equal amount of attendees attending virtually, with attendance and registration numbers growing - as the virtual platform stays open to allow members to log in for post event on-demand access.
- In-depth, custom configured analytics are provided that allow ISF members to achieve certificates for attending the event. If they can’t attend the live streamed sessions, we provide time tracking in the on-demand rooms enabling members to achieve their certifications.
- Sessions were streamed live for all audiences with an immediate turn around in the virtual venue for content to be available on-demand the next day.
- The virtual Exploration Zone changed daily with new updated relevant content.
- Virtual Exhibit Hall for additional exposure for event sponsor/partners.
- Sustainability is at the forefront of our event decisions: Lanyards were made from recycled bottle plastics. Onsite printing with thermal printers - a technology that doesn't require cartridges or toners that will end up in landfills.
- We carefully selected the technology used, with a focus on seamlessly integrating technology stacks for an efficient attendee experience and the ability to easily analyze data.
With engagement as a critical driver, special attention was paid to ensure all audiences would feel part of the event - with the ability to ask questions and take part in real-time polls. Our favourite: hearing the applause and laughter from inside the room when attending the event virtually.
